Plan your
recording day.
Start with what you need to leave with. A room booking, a supported shoot and a finished series involve different people, preparation and deliverables.
Use this guide to brief an audio podcast, video podcast or YouTube content session at London Podcasts, a Fitzrovia Post company. Then confirm the details for your chosen room and booking.
Choose the scope that fits your team.
| Your starting point | What to arrange | What to confirm separately |
|---|---|---|
| Audio podcast recording | A room, microphones and an engineer, with recorded audio files. | Editing, mixing and the finished episode. |
| Video podcast recording | Cameras, lighting, microphones and an engineer; a rough live cut plus separate camera and audio recordings. | Finished edits, captions, social clips and any 4K upgrade. |
| Your own YouTube crew | The room and session that suit your planned setup. Check the room’s booking inclusions. | Any additional equipment, crew, set changes or technical support. |
| A complete production | A tailored brief covering the format, recording, editing and delivery you need. | Development, extra versions, clip quantities and publishing responsibilities. |

Book time for the whole session.
A recording slot also needs to accommodate arrival, briefing, setup, checks, pack-down and file transfer. Several episodes in a day also means guest changes and breaks. Give the producer your intended running times and number of guests before choosing the session length.
- Before arrival: confirm the room, people, format and equipment responsibilities. Share access requirements and any remote participants.
- Before recording: allow for microphones, camera framing, lighting and a recording check. If you need vertical clips, discuss framing before the shoot.
- Between episodes: allow for guest changes, resets and breaks. Nominate someone to keep track of the running order.
- Before leaving: agree the recorded files and handover. If there is further editing, confirm who reviews the work and when.
Interviews and expert explainers can have different preparation needs. Tell us whether you are bringing questions, a script, a presenter or a director rather than assuming those roles are included.
Recorded media or finished episodes?
If your editor will finish the work, ask for a media handover. Agree the recording format, audio delivery, file structure and transfer arrangements before the shoot. Standard recording is HD; a 4K recording and delivery upgrade is an additional service agreed before booking.
If we are editing, specify the number and length of episodes, required versions, captions and clips. Agree review rounds, the approval contact and delivery dates. A rough live cut captured during recording is different from a finished edit.
Plan Shorts as deliverables.
State how many clips you want, their intended platforms and whether your team will select the moments or needs that selection included in the edit. Share your brand assets and caption preferences. Do not assume a whole episode will crop cleanly into every format without planning.
